Rescheduling, Makeup & Cancellation Policies

Rescheduling & Makeups
 

We acknowledge that there will be instances when our customers are unable to attend their scheduled classes due to a range of reasons such as travel, illness, family events, and more. Our staff members also encounter similar situations that might require them to be temporarily Out of Office. In response to these situations, we provide opportunities for make-up classes in both scenarios. Each teacher has a make-up slot each week at a predetermined time. In order to ensure the effectiveness of our make-up process for both customers and staff, we have established the following policies for make-up classes:

 

When Teacher is Out of Office (OOO):

  1. Teachers notify front desk/students/parents about their upcoming OOO at least two weeks in advance in non-emergency scenarios.

  2. Front desk schedules make-up classes for affected students with the teacher, prioritizing the next available make-up class. 

  3. If teacher needs to do multiple make-up classes, subsequent make-up classes are booked for the students.

  4. The students have flexibility to book any available make-up class with another teacher in a different discipline.

  5. Each scheduled make-up class can be rescheduled once. If a student can't attend the rescheduled class, they forfeit the make-up opportunity.

 

When Student Can't Attend a Class:

  1. Students must notify the front desk at least 24 hours in advance of the scheduled class if they can't attend, in order to be eligible for a make-up class.

  2. If student knows which of the future make-up class slots works for the student, front desk books the make-up class for the student. We recommend to take the next upcoming make-up class so that the student can learn the missed part as soon as they can to keep up with the rest of the class.

  3. If student doesn't know yet which of the future make-up class slots will work, the front desk would book a (placeholder) slot about 3 months later - and would update it once student knows the make-up slot that will work for them. This way, at any time a student can see online in their account the number of make ups they have with Lune Spark.

  4. The students have flexibility to book any available make-up class with another teacher in a different discipline.

  5. Each scheduled make-up class can be rescheduled once. If a student can't attend the rescheduled class, they forfeit the make-up opportunity.

Additional Policies:

  1. To encourage continuous learning, the total number of make-up classes is limited to 2 per quarter (excluding teacher's OOO make-ups).

  2. If a credit is not used within 90 calendar days of its issuance, it is forfeited.

  3. Subscription pausing is not allowed for outstanding make-up credits, promoting continuous learning.

 

The goal of these policies is to provide a clear structure for managing make-up classes, ensuring that students have the opportunity to catch up on missed sessions while maintaining the integrity of the learning process. We believe that this transparency and flexibility should help create a positive learning environment for both students and staff.

Cancellation

Should you need to cancel your class subscription for any reason, you are able to do that directly in your portal on the Lune Spark website:  Log into your portal, click My Schedule, Hover over My Account, click on My Lune Spark Plans, and then click Cancel my Lune Spark plan. Note: It's important to be aware that the majority of our classes are in high demand and fill up quickly. If you return at a later time (after canceling), your spot for a specific class may no longer be available, and you may need to consider joining a different class on an alternative day or time.

 
Pausing a Class

We understand that life can sometimes require students to take a break from their classes with the intention of returning later. However, it's essential to keep in mind that our classes are highly sought after and tend to fill up rapidly. If you decide to pause a subscription (which you can do by reaching out to our front desk), there is a possibility that your spot in that particular class may no longer be available. In such cases, you may need to consider enrolling in a different class offered on an alternative day or time.

 

Therefore, in most instances, rather than pausing for a few weeks, we recommend that students inform our front desk and arrange for future makeup sessions for the classes they plan to miss. Importantly, this arrangement won't count against the limit of two makeups per quarter. This approach ensures that students stay on track with their peers, as our teachers will bring them up to speed during these makeup sessions upon their return.

Refunds

To cancel your class subscription, we advise completing the remaining classes for the current month you've paid for. However, if you're unable to attend the remaining classes within the paid month, a refund will be issued for the unused portion of the canceled subscription. For instance, if you've attended two sessions within a monthly billing cycle and then need to cancel, it's recommended to attend the remaining (2 or 3, depending on the month) classes. If that's not possible, a refund will be processed for the remaining (2 or 3) classes in your billing cycle. Please note that refunds will not be issued for past classes.

Holidays

Lune Spark observes the following holidays and will be closed for classes. A make up class will be scheduled by the front desk for the classes that will fall on these holidays.  

  • Martin Luther King Day

  • President’s Day

  • Memorial Day

  • Juneteenth

  • Independence Day

  • Labor Day

  • Columbus Day

  • Veteran’s Day

  • Thanksgiving Break

  • Christmas & New Year’s Break

Youth Camps

 
Rescheduling

Should you need to reschedule your purchased camp for any pre-planned* reason, please contact the center 48 hours prior to the start of your scheduled camp. We are happy to schedule another camp of similar value (if you know which date(s) you would prefer at the time of rescheduling OR provide you with a credit that can be used to schedule another camp of similar value in the future.

*Should you/your student find that you are unwell on the day of your scheduled camp, please make the best decision for your/your student’s health. We are happy to honor our rescheduling & makeup policy for day-of illnesses.

Cancellation

Should you need to cancel your scheduled camp for any reason, please contact us at least 72 hours before the start of the camp via email at hello@lunespark.com or phone at 919-342-0568.

Refunds

If your student is unable to attend a camp and you do not wish to reschedule or receive a credit for future use, refunds will be issued for any camp cancellations received 72 hours prior to the start of your scheduled camp.

Holidays

Lune Spark observes the following holidays and will be closed for camps and classes: 

  • Memorial Day

  • Independence Day

  • Labor Day

  • Thanksgiving Break

  • Christmas & New Year’s Break

Lune Spark is open for one-day and track camps on the following holidays and most teacher workdays: 

  • Martin Luther King Day

  • President’s Day

  • Juneteenth

  • Columbus Day

  • Veteran’s Day
